What this notice covers

This notice applies to the National Center for Community-Based Child Welfare public website and the membership, partnership, contact, consultation, email-update, Leadership Exchange, sponsor-material, and Executive Retreat request forms linked from it.

The Symposium mobile app has a separate app privacy notice, including account-deletion instructions. Signed-in member tools, event services, and third-party websites may provide additional notices for their features.

Information we receive

The information requested depends on the form you choose. It may include:

• Your name, work email, phone number, role, organization, address, and the details of your inquiry.
• Organization information for membership or partnership review, such as budget range, EIN, an IRS Form 990 or budget summary, and an approved logo.
• Event, billing-contact, coordinator, and travel-planning information, along with participation and communication choices.
• Optional dietary, allergy, or accessibility information you choose to provide for event planning. Include only the practical details needed to support your participation.
• Logos, advertisements, documents, and other materials you choose to upload or share by a download link.

The form service also records a submission reference, receipt time, file metadata, and delivery status so staff can locate your request and resolve technical issues. If you provide information for another person, you must be authorized to share it and accurately represent their choices.

How we use information

We use submitted information to respond to inquiries, review applications, coordinate services and events, manage sponsor materials, maintain contact and administrative records, and follow up on the request you made. Information from website forms may be added to our contact-management system so staff can manage that work.

A membership application or Retreat request does not itself collect a payment or confirm acceptance. Do not place payment-card or bank-account details in a message field or attachment. Follow the payment instructions provided for the relevant service when payment becomes due.

Access, service providers, and public materials

Form submissions and uploaded files are stored in National Center administration systems for review by authorized staff. Technology and service providers support website hosting, storage, email delivery, and related operations. Cloudflare provides website hosting and measurement services. Event planning may also involve the service providers needed to coordinate the arrangements you request.

Submitting a general inquiry or an application does not publish the form response on our website. Materials supplied for public use, such as an approved sponsor logo, advertisement, or presentation, may be used for the purpose described on that form. Avoid including private contact details or confidential information in materials intended for publication.

Information may also need to be retained or disclosed to meet applicable legal obligations or respond to a valid legal request.

Your communication and participation choices

The email-updates form asks for your express choice to receive National Center news. Where another form offers an optional communications, photography, or participation choice, review that choice separately from the information required to handle your request.

You may ask to stop promotional email by using the unsubscribe option in the message or contacting admin@cwnationalcenter.org. Request-related, membership, billing, or essential event messages may still be needed to administer your existing relationship or transaction.

Contact us if you need to correct submitted information, update event permissions, or discuss a privacy concern. Include the form name and submission reference if available. Do not send passwords or sensitive identification documents with an initial request.

Website measurement and browser information

The public website uses Cloudflare Web Analytics to understand page visits and website performance. Cloudflare states that this measurement does not use cookies or browser local storage and does not fingerprint visitors. This is separate from hosting and security processing, which can involve technical request information such as an IP address, requested page, browser information, and request time.

Linked or embedded services can have their own privacy practices. Browser settings can limit cookies and site storage, although restricting features used for sign-in or security may affect those services. Learn more about Cloudflare Web Analytics and Cloudflare security cookies.

Records and privacy requests

Submission records, attachments, and related administrative records may remain in our systems after a request or event has ended. Retention depends on the record and its operational, accounting, contractual, or legal purpose. This notice does not set a single automatic deletion date for every record.

You may request access to, correction of, or deletion of information you submitted by contacting admin@cwnationalcenter.org. We will review the request, verify identity or authority as appropriate, and explain any records that need to be retained. Sending a request does not immediately delete a record or cancel a registration, membership, or agreement.
